ORDER SYSTEM USER GUIDE
=======================

Introduction
------------
This program allows you to produce letters to order items from mail order
companies. It also allows the orders to be stored for later amendment
and/or reference.

Protection
----------
The software is protected by means of a password which must be entered
whenever the program is loaded. The password is stored at the end of
the !Orders.!Boot file, and may be amended so long as:

1. The length of the password is no longer than 10 characters
2. The password is preceeded by the | character and a single space
3. At the end of the line containing the password, you press [RETURN]
4. The password line is the fifth line in the !Boot file

As supplied, the password is "password" and this must be entered into the
icon on the title page before the software may be used. The letters should
all be entered in the same case as they were in the !Boot file - the initial
password should, therefore, be entered in LOWER CASE LETTERS.

Loading and entering your personal information
----------------------------------------------
THIS PROGRAM MUST BE DE-ARCHIVED BEFORE IT CAN BE USED

Simply double click on the !Orders icon. After a short time, the !Orders
icon (which looks like a white envelope) will appear on the icon bar, and
the user identification window will appear on the screen. Enter your
password (see above) and press [RETURN]. You will get three chances to
enter the correct password before the program will exit and you will need
to re-load it.

The system will store your name, address and credit/debit card details so
that these do not need to be entered each time you use the system (if you
store your card details then you should NEVER allow other people to use
your copy of the software).

To enter your details, click on the Orders icon with the right hand button
and enter the information which is asked for in the User Details window.
To close the window, use the standard 'close' icon at the top left of the
window - there is no need to save the information as this will be done
automatically when you exit from the program.

CREDIT CARD DETAILS: When it comes to entering these details in the "User
Details" window, you should move the mouse pointer into the "Card Type" icon
for each of the cards you wish to register and click with the middle button.
A list of six major cards will appear, which you will be able to select to
save you having to type in the card type. If you then press [RETURN] an
illustration will appear to the left of the card details - this will depend
on the type of card registered, but will resemble the card symbol used
on the card itself and by retailers.

If the card is not of a recognised type (Access,Switch,Visa,Delta,American
Express,Mastercard) then a blue "Credit Card" logo will appar instead.

Placing an order
----------------
If you wish to place an order with a particular company, the order placement
window can be displayed by clicking with the left hand button on the !Orders
icon. You should then enter the name of the company from which you wish to
order the goods. If you have placed an order with this company before, then
a window will appear asking you whether or not you wish to use the address
for the company which you entered when making the previous order. Click on
OK if you do and the address will be loaded for use when printing the new
order.

The order can consist of up to ten "items", although multiples of each of the
ten items may of course be ordered. The system requests the following
information:

Product code as used by the supplier
Description
quantity needed
unit cost �

The system will, when you press [RETURN] in the unit cost column, calculate
the "Total cost" for that item and for the order.

Some items will need more than one line of the order form to be fully
detailed. In cases where this is necessary, you should enter the description
in the usual column but after entering one line, use the mouse to position
the caret in the next "description" icon. You could, of course, always use
the [RETURN] and cursor keys as normal.

The final piece of information which is required is the method of payment to
be used - ie. if you will be writing a cheque, sending a postal order, having
the purchase charged to your account with the supplier, charging it to one of
your credit cards, or if you wish to have an invoice sent foe later payment.
Simply click on the icon next to the Method of payment" label until the
appropriate method is shown. If you choose a credit card then the program
will show the usual symbol for that card. Card symbols have been designed
for Access,Switch,Visa,Delta,MasterCard,American Express cards, and any
other card will be represented by a blue "Credit Card" logo. If no card has
been detailed for either Card 1, Card 2 or Card 3 then the program will
automatically skip to the next payment method in the sequence.

If you have not asked for the company's address to be supplied by the
program from a previous order, then you will also need to enter this
information, together with their telephone and fax numbers, and your account
number (if appropriate). Click with the middle button inside the order
window and move the pointer to the Address option - drag to the right and a window will appear allowing the entry of the company's details. Enter the
information and press [RETURN] in the Account number icon to close the
window.

If you click with the middle button inside the Order window, the following

You should delete all orders once they are no longer required or the disc
will soon become full up (each order takes just over 1Kb of disc space).

VAT calculation
---------------
There is also a '+VAT' icon at the top right hand corner of the order window.
Clicking on this will open up a VAT calculation window, which allows you to
specify the applicable rate of VAT. Pressing [RETURN] or clicking on the
"add VAT" icon will add VAT to all prices currently entered. Note that if
you subsequently decide to add another item, then you will have to either
calculate the price including VAT manually, or re-enter the unit costs for
all those items whose prices have already had VAT added.

Searching facility
------------------
The program also offers a facility for recalling an old order which was saved
at the time it was prepared. To access this facility, open up the Order
window, click the middle mouse button (while the pointer is inside the
order window) and move the pointer to the "Search" option, dragging to the
right when you reach it. A small window will appear. The writeable icon
is for the company name with whom you placed the order - enter this BUT DO
NOT PRESS [RETURN]. You may now specify how you want the search to be
carried out. If you want the company name to have it's letters in the
same case as those in the entered text then make sure that the "Case
sensitive" option is ticked. Also, if you want the company name to match
exactly the entered text then tick the "exact match" option - the alternative
to this is searching for all orders placed with companies whose names contain
the entered text and if it is this type of search which you require then
make sure that the "exact match" option is crossed. You may now press
the [RETURN] key and the search will begin.

If a matching record is found then it will be loaded and diaplayed in the
order window (the company address will also be loaded and placed in the
company information window). Should no record be found, the menu and search
window will close.

It may be the case that more than one record in the file matches the
specified search conditions - in which case you can cycle through those which
match by clicking with the left hand button on the large blue arrow icons in
the order placement window. At the ends of the file the program will
automatically stop searching. The arrow pointing left will search for the
matching record immediately before the current one, the right arrow will
search for the next matching record in the file.

If you do not enter any text in the search window, the first record in the
orders file will be displayed and you will be able to cycle through all of
the records in the file.

Ending the program
------------------
It is vital that you select the Quit option from the program's icon bar menu
as this will ensure that the orders file is updated and that your personal
information is saved for future use.
