Chapter 7 The OCRed Text Window The OCRed text window opens automatically when a page of text is read, unless Menu Linked Embedding has been used with the Transfer text later option turned off. (see Chapter 4.4 - Menu Linked Embedding (MLE).) The window can also be opened from the Icon bar menu, and by clicking with Select on Optical on the icon bar (see Chapter 3.3 - The Icon bar menu for more details.) When the window is opened, it automatically scrolls to the start of the last section of text which has been read. If there is a * symbol next to OCRed text in the window's title bar, it means that any alterations or new text are unsaved. Saving text is explained later in this chapter. Text is displayed in the following convention: � Characters which could not be recognised at all are printed as blue question marks. � Tabs are printed as blue arrows which point to the right, except when the text is shown at full quality (see later.) � If the text has been automatically checked for spelling mistakes, then certain words may be coloured orange or red. Orange words are ones which were originally wrong, and have been replaced. Red words are words which Optical could not find in its lexicon, but did not replace. Green words are ones which were not checked, either because they were numbers, or the lexicon being used did not contain words of that length - The Impression lexicons do not contain words of two letters or less. � If a page of text has been OCRed but the original image is not stored in memory any more, the text is shaded a lighter colour. � All other text is printed in black. 7.1 The OCRed text menu Clicking with Menu over the OCRed text window opens the OCRed text menu. Here is an explanation of each of the items in this menu: 7.1.1 File > To caret... It is not possible to transfer text to the caret with the demonstration version... Selecting this transfers all of the text in the window to the current caret. For example, you can be working in Edit, and then transfer the OCRed text directly to where the caret is in the Edit window. It is also used when the Transfer text later option has been used with Menu Linked Embedding. (See Chapter 4.4 - Menu Linked Embedding (MLE).) Note The text is transferred in the format chosen in the Save window, described next. 7.1.2 File > Save... It is not possible to save text with the demonstration version... The Save... submenu allows text to be saved using the standard RISC OS procedures, by dragging the file icon to a Filer window or a text editor/ word processor etc. There are four different file formats that text can be saved in: Plain text is normal text which can be displayed in a simple text editor, such as !Edit. It does not include any information about font changes, subscript/ superscript etc. RTF (Rich Text Format) is a file format which originated on the PC, and as such many PC packages can load this format. Certain Acorn wordprocessors and desktop publishers can also load RTF files. This format can be easily sent through modems etc., and also includes information about font and text size changes. DDF (Document Description Format) is compatible with Computer Concepts' Impression document processing packages. This format also carries information about font and text size changes. CSV (Comma Separated Values) is a format which stores data separated by commas and linefeeds. It is often used to transfer information between different spreadsheets and databases. As such, many of these types of packages, and some text processing packages will accept this format. It is only possible to save CSV files if text has been formatted as a table. See Chapter 8.3.3 - Miscellaneous for more details. Clicking on the toggle icon at the top right of this window adds more options to the bottom (which apply only if RTF or DDF is selected)... If Font changes is selected, then details of font changes will be included within the saved file. If Size changes is selected, then details of font size changes will be included. If Supr/Subscript is selected, then any details of subscript and superscript changes will be included. 7.1.3 File > Append If Append is ticked, then any new text which is OCRed is appended to the end of the previous text, otherwise the old text is erased and replaced by the new text. 7.1.4 File > Statistics The Statistics submenu is actually a window which gives information about the quantity, the time taken and the speed of the last piece of text OCRed. 7.1.5 Edit / teach > Spelling... Clicking on Spelling... opens the Spelling checker window. Using the Spelling checker is explained in Chapter 8.1 - The Spelling Checker. 7.1.6 Edit / teach > Type teach... Selecting this puts Optical into Type teaching mode. This is explained in Chapter 9.2.2 - Type teaching. 7.1.7 Display > Show full quality With Show full quality selected, OCRed text is displayed in different fonts relating to the original page of text. Changes in text size are displayed red in the format 10pt, 16pt, relating to the font point size. 7.1.8 Display > Show image bubble If selected, a text bubble appears showing the part of the scanned image where the caret is currently located. This bubble flashes if the mouse pointer is over it, so that text underneath can be edited. The bubble is only displayed if the mouse pointer is over the OCRed text Window. 7.1.9 Display > Show image... Selecting this opens the Scanned image window. See Chapter 6 - Processing an image. 7.1.10 Misc > Format... This option opens the Text formatting window, which is fully explained in Chapter 8.3 - Formatting the OCRed text. 7.1.11 Misc > Read out... This feature is not functional with the demonstration version... This option allows pages of text to be read out loud after they have been OCRed. To use this, a compatible speech synthesizer must be installed and the appropriate one selected from the Auto speak menu in the Preferences window (see Chapter 5.1.5 - Read out after.) While the computer is talking, this menu item changes to Silence!, and clicking on this stops Optical talking. To use a speech synthesizer, you will probably have to do the following before selecting Read out... for the first time: For ARCticulate Insert the ARCticulate disc into your computer's disc drive. For Speech! Insert the Speech! disc into your computer's disc drive. Open the Filer window for that disc, and then run the application !Speech!. For SpeechSystem Insert the SpeechSystem disc into your computer's disc drive. Open the Filer window for that disc, and then run the application !Pep-Lib. Note It is not possible to change the selected speech synthesizer from the Preferences window while Optical is talking. 7.1.12 Misc > Re-OCR... Selecting this makes Optical re-read the current image - useful if new characters have been taught. 7.2 Clicking on the OCRed text window It is possible to edit individual characters by positioning the mouse pointer and clicking with Select between characters. A caret will appear, and it is then possible to type in alternative characters, and delete them with the Backspace or Delete key. The left, right, up and down cursor keys can also be used to move the caret through the text. It is possible to edit text while it is being OCRed in multi-tasking mode. Note If Context checking is switched on (see Chapter 8.3 - Formatting the OCRed text) then the cases of letters may be altered as they are entered. It not possible to edit text if... a) Text is formatted as a table (see Chapter 8.3.3 - Miscellaneous) b) The text is shaded because there is not an original scanned image related to it in memory. A double click with Select on a character puts Optical into Type teaching mode. This is explained in Chapter 9.2.2 - Type teaching. If the caret moves over a word which is colour coded from a spelling checker operation, then the colour is cleared, so that it is possible to see which misspelt words have been edited. 7.2.1 Joining a split character together Occasionally a character is vertically split in two, and needs to be recognised as one character. A single click on one part of the character with Select, and a single click with Adjust on another part, joins them together, treating them as one. The new character is then re-OCRed and the OCRed text window is updated. 7.2.2 Splitting joined characters Sometimes two characters are joined and recognised as one. Clicking on a character with Select while Alt on the keyboard is pressed allows that character to be split into two. The character is enlarged in a small box and a red vertical line can be moved left and right using the mouse. When the line is where the character should be split, clicking with Select splits the character, re-OCRs the two sections, and updates the OCRed text window. If the Select button is held down before releasing it, then it is possible to mark an overlap - useful when splitting ligatures where part of one character joins to the next. In the picture above, the ligature had been read as h, but after splitting Optical automatically replaced it with fi. 7.2.3 Getting a list of alternative words Clicking on a character at the start of a word with Select while Ctrl on the keyboard is pressed opens the Spelling Checker window, enters that word into it, and comes up with a list of alternative words which can then be substituted.
