Chapter 8 Editing the OCRed Text This chapter describes the various ways of editing text after it has been OCRed. 8.1 The Spelling Checker As OCR is to a certain extent dependant on recognising whole words, and not just individual characters (due to the fact that individual letters are sometimes badly formed, and we as humans make sense of letters in words from their context), it is useful to have an in-built spelling checker. The Spelling checker is available from the OCRed text menu, described in Chapter 7.1.5 - Edit / teach > Spelling... . Note It is not possible to check the spelling of text without an accompanying scanned image in memory. 8.1.1 Lexicons On the right hand side of this window is a scrollable area containing a lexicon (list of words). If it reads No lexicon loaded in red then there are no words loaded. The full version of Optical already comes with an English lexicon, but it is also possible to load Computer Concepts ' dictionaries (including foreign variations), and User Dictionaries . As well as these, plain text files of words can be loaded into Optical, as many foreign and technical lexicons in this format can now be found in the Public Domain and on the Internet. Clicking Menu over the icon above the scrollable area (where it reads Optical's lexicon in the screen shot on the previous page) opens a menu with a list of lexicons which can be used. 8.1.2 Loading lexicons Impression's and Plain text may be shaded. If so, the relevant lexicons are not loaded. To load an Impression (actually called SpellMaster ) lexicon, drop your Impression application onto the Spelling checker window. You can also load your own Impression User Dictionaries this way. To load a plain list of words, it has to be file-typed as a Text file (with an icon like the one on the left.) Then just drop the file onto the Spelling checker window. Selecting any of the three menu items puts the relevant lexicon into the scrollable area in the Spelling checker window, and uses it for future spelling checking operations. The submenu to Optical's contains two items. Load lexicon loads Optical's lexicon into memory, and Remove lexicon removes the lexicon from memory. Note If required, Optical's own lexicon can be made to automatically load when Optical is started up. To do this, set the option in the Preferences window (see Chapter 5.2.1 - Auto-load lexicon ), and save the choices. The submenu to Impression's contains a list of User Dictionaries which are loaded. These cannot be selected in any way, and only act as information. The submenu to Plain text only has one item - Remove lexicon which is self-explanatory. Using the Save icon from the Preferences window saves the currently selected lexicon, and the path of where to load it, if known. Therefore, when Auto-load lexicon is selected from the same window, only the appropriate lexicon will be loaded and selected. 8.2 Using the Spelling Checker Typing a word into the writable area in the Spelling checker window automatically scrolls the lexicon to show its entry, or the nearest one. Here is a description of the buttons on the left side of this window: 8.2.1 Next Pressing the Next button searches for the next misspelt word in the OCRed text. Note This button is disabled if no character is selected in the Scanned image and OCRed text windows. If a character has been selected in the OCRed text and Scanned image windows, the search starts from the word after the word containing the selected character. Otherwise, the search starts from the beginning of the text. If a misspelt word is found, then it is Guess ed (see below.) 8.2.2 Ignore This button can only be used when the Impression lexicon is selected. If a word is found which is not in the lexicon, which is a real word, pressing Ignore makes sure it is recognised for the rest of the checking session. Pressing this button also continues the search for a misspelt word. 8.2.3 Guess Pressing this button brings up a list of similar words to the one in the writable area. The guesses are displayed in the scrollable area. 8.2.4 Replace This button is disabled if no character is selected in the Scanned image and OCRed text windows. It is used to overwrite an existing word in the OCRed text window with the word in the Spelling checker window's writable area. To set the position to overwrite at, click on the first letter of the word to be overwritten, in either of the OCRed text or Scanned image windows. After the word is replaced the next misspelt letter is searched for, and automatically Guess ed (see above.), unless the spelling checker was called by clicking on a character with CTRL pressed in the OCRed text window. In this case the Spelling checker window is closed. 8.2.5 Auto check This button starts automatic spelling checking. This is where the last piece of text to be OCRed is checked for spelling mistakes. If a mistake is found then Optical intelligently guesses what the word should be, and replaces it. Automatic spelling checking can be stopped by pressing Escape . 8.2.6 Cancel Pressing this button closes the Spelling checker window. 8.2.7 Intelligent If this option is selected (with a tick to its left), then words found in a Guess operation (see above) are compared back to the original characters in the scanned image. The words are sorted into order of how well they fit, the best going to the top of the list. The best fitting word is also placed in the writable area. 8.3 Formatting the OCRed text To format text the Text formatting window is used. This is available from the OCRed text menu (see Chapter 7.1.10 - Format... .) Text formatting can also be turned on and off from the Preferences window (see Chapter 5.1.4 - Format text .) This window is split into three areas... 8.3.1 Lines If Join lines is selected, then lines of text are joined with spaces to make paragraphs. If Remove end hyphens is selected, then any hyphens at the ends of lines are removed, joining parts of words together. 8.3.2 Paragraphs If Join paragraphs is selected, then all paragraphs are connected by spaces. If Join paragraphs is not selected, then it is possible to make each paragraph start with either a tab, or a user-defined string of tabs and spaces. To do this select Start paragraph with , and then either: Select tab or Select the writable area, and enter a string made up of S s and T s - which translate into spaces and tabs. It is also possible to have up to nine blank lines inserted between each paragraph. To do this, select Lines between paragraphs , and then alter the number of lines using the up and down arrows. 8.3.3 Miscellaneous If Make into table is selected then most of the rest of the window is greyed in. This feature is included so that tables of figures and other information can be OCRed and saved in an appropriate format (CSV files - see Chapter 7.1.2 - File > Save... ) and loaded into databases, spreadsheets, and other packages. Text can only be formatted as a table if two adjacent vertical columns or more of text or figures etc have been marked (see Chapter 6.4.1 - Marking a column of text. ) When text is formatted as a table, adjacent entries in columns are separated by tabs. Another option All numbers also becomes valid if Make into table is selected. With this selected, all letters which look in anyway similar to numbers are converted into numbers. For example S s turn into 5 s, and B s turn into 8 s etc. This makes sure that tables of figures are OCRed as accurately as possible, as they are more difficult to check than straight text. If Correct 'out of context' chars. is selected, an attempt is made to replace misread 0 s (zeros) with O s, I s with 1 s (ones) etc. by looking at surrounding characters. 8.3.4 Other buttons Reformat text re-formats the last piece of text read, using the selected options. Close closes the Text formatting window. 8.4 Type teaching It is possible to type over text which has been OCRed, teaching Optical any alterations if necessary, providing that a corresponding scanned image is in memory. This feature is called Type teaching and its use is explained in Chapter 9.2.2 - Type teaching .
