Contents Introduction 3 Basic operations and concepts 4 Components of a class table 6 The Front Window Menus 10 The Main Window Menus 11Introduction Marks Register is an application designed to provide an efficient and versatile means by which teachers can easily record, process and analyse the performance of their students. Data can be produced in a selection of formats suitable either for immediate print out, or for export to other applications such as desktop publishers, spreadsheets etc. Demonstration version This demonstration version of Marks Register has a number of limitations that the full version of Marks Register does not have. Namely: The maximum number of students in a class is restricted to 12 (instead of 480). The maximum number of assessment and sub-total columns is restricted to 8 (instead of 60). The maximum number of classes in a single data file is restricted to 3 (instead of 30). Apart from these restrictions this demonstration version is in all other essential aspects identical to the full version of Marks Register. Fax: 0064 7 856 8920, ph. 0064 7 856 8920 Basic operations and concepts Running Marks Register To start Marks Register double click on !Marks or alternatively drag !Marks to the icon bar. The Front Window The Front Window is used to display the different classes that are currently loaded into Marks Register. Click with select on the Marks Register icon once it is present on the icon bar to open the Marks Register Front Window. Click with menu when the pointer is over the Front Window to pop up the Front Window menu (described in detail on page 12). Loading files To load a data file into Marks Register drag it to the Marks Register icon on the icon bar or alternatively drag it into the Marks Register Front Window. Editing class data To edit the data in a class you must first open the Main Window on that class. To do this double click on the class in the Front Window, or alternatively select the class using select or adjust and then choose the menu option "Open" from the Selection menu. The Main Window The Main Window is used to edit the data in a class. Marks Register provides for only one Main Window so it is only possible to view and edit the data in one class at a time. Click with menu while the pointer is over the Main Window to pop up the Main Window's menu (described in detail on page 14). Saving data The classes and their data may be saved from Marks Register to a file by choosing the option "Save" from the Front Window menu. Quitting Marks Register To quit Marks Register click with menu on the Marks icon on the icon bar and choose the option "Quit". If there is any unsaved data still resident in Marks Register you will be queried as to whether you really want to quit the application. Appending data To append a file of data to data already in Marks Register load the file as described above. The data already in Marks Register will not be lost. The new data will be appended to that already there provided the total number of classes would not exceed 30. Erasing data If you click on the close icon of the Front Window all the data resident in Marks Register will be erased (equivalent to deleting all the classes). If there is unsaved data resident you will be queried for confirmation before erasure takes place. Printing To print out a hard copy of class data use the space separated option from the text output menu and simply drag the text file icon to your printer on the icon bar. Components of a class table Classes A class consists of a table of data and the names of the class, subject and teacher. The three names are held in three small fields above the table. The table carries the bulk of the class data. In the body of the table are the marks of each student for each assessment. Each row corresponds to a student, each column to an assessment. The rows are labelled with the students' names, the columns with the assessment names. The column titled "Wgtd Avg" carries the students' final marks. If you have a scaling option in force for the class there will be another column labelled "Scaled Marks" carrying the students' scaled final marks. Additionally sub-total columns can be interspersed among the assessment columns. Finally, across the bottom of the table seven class statistics are calculated for each column. Marks Register can handle up to 30 classes. Classes can have a maximum of 480 students and a total of up to 60 assessment and sub-total columns. Marks Register dynamically alters the size of the table as you change the number of students and assessments. When a new class is opened for the first time it has no students or assessments and there is therefore no "body" to the table (which gives it a rather odd appearance). Students Students can have names up to 30 characters long. A short profile comprising a maximum of 6 lines of 60 characters each can also be written about each student. Assessments Assessments have two 6 character fields that can be used to identify the assessment. They have a weight field which determines what portion of the final mark the assessment makes up. They also have a maximum field which is the total out of which the assessment is marked, i.e. the maximum possible mark. Sub-totals The marks in sub-total columns are the weighted averages of the marks for preceding assessments back to the last prior sub-total column (or back to and including the first assessment if there is no prior sub-total column). Selecting objects To select (or deselect) a class in the Front Window click on it with either select or adjust. To select (or deselect) a student, assessment or sub-total column in the Main Window click with adjust on the name of the student, assessment or sub-total. Moving the caret The caret can be moved around the table by clicking with the mouse or by using the arrows keys. Additionally holding "Shift" down while using the arrow keys allows one to skip across columns and jump to the first or last line of the table. Marks A mark may be entered for each assessment for each student, the mark must be an integer between 0 and 250 inclusive. They can be displayed either as the raw mark, i.e. the mark as it was entered, or as a percentage with respect to the maximum possible mark for that assessment. Only raw marks can be entered or edited. If an attempt is made to edit marks while the marks are being displayed as percentages Marks Register will automatically switch to displaying raw marks. If a mark is entered that is greater than the maximum mark possible for that assessment the mark will be allowed to stand, however it will be displayed with a red background to draw your attention to the anomaly. Negative marks and fractional marks are not supported. If you really need to use half marks we suggest you nominally double the marks entered and double the maximum possible mark and so avoid the problem. Unentered marks Unentered marks are not treated as zero. It is assumed there is a good reason for not entering a student's mark. An unentered mark results in that student having their final mark computed based on a weighted average of the remaining assessments for which there does exist a mark. Therefore, if a student deserves a zero mark for an assessment do not leave a space. Unentered marks are treated in the same way when it comes to computing the class statistics. That is, the class mean, median etc. will be computed based on the remaining students for which there are marks entered. Computation of final mark A student's final mark is computed by taking a weighted average of the individual percentage marks obtained in each assessment. The individual percentage marks are not rounded, several decimal places being retained to ensure accuracy. The final mark is however rounded to the nearest integer. These final marks rounded to the nearest integer are used to determine the scaled final marks which are again rounded to the nearest integer. Note: What an assessment is marked out of has no effect on the weight that an assessment carries in determining the final marks. Scaling There are two scaling options available: Five point scaling Target mean and standard deviation When using the five point scaling mode Marks Register will scale the highest, upper quartile, median, lower quartile and lowest mark to the target specified. Final marks lying between these 5 points will be scaled using linear interpolation. When using the target mean and standard deviation mode Marks Register will attempt to scale the final marks so that the scaled final marks have the specified mean and standard deviation. This is normally successful for reasonable target values. The marks are scaled using a linear transformation. If some of the scaled final marks end up below 0% or above 100% they are set to 0% and 100% respectively. When this occurs the mean and standard deviation of the scaled final marks may differ from the targets specified. Class statistics Class statistics are calculated for all the assessments, sub-total columns, final marks and scaled final marks (if present). They comprise the mean, standard deviation (sn-1), highest and lowest mark, median mark and upper and lower quartile marks. Where there is no precise median or upper or lower quartile an interpolation is performed between the two marks on either side. The class statistics are always expressed in terms of the percentage marks, not in terms of the raw marks. The Front Window Menus The Front Window menu provides a few simple operations on entire classes. Save Saves the list of classes and their data to a file. Add class Adds a new class to the list of classes. Selection The selection menu allows you to manipulate a selected group of classes. Open Opens a window on the selected class. A class may also be "opened" by double clicking on it with select. Note: Only one class may be "open" at any given time. Delete Deletes the selected classes. Clear Deselects the selected classes. Combine Attempts to combine the selected classes (Using select button on Mouse) into a single class. In order for this to be successful the total number of students in the selected classes cannot exceed 480. Further, the names, weights and maximums of all the assessments and the names of all the sub-total columns must match exactly in all the selected classes. Finally, there must be no scaling criteria for any of the classes. The Main Window Menus The Main Window menu provides the facilities available for manipulating a table of class data. Insert student Inserts a student in the list of students in a class. The student is inserted immediately after the row the caret is in. If the caret is not in the body of the table the student is inserted at the beginning of the table. A student can also be added at the end of the table by typing a "Return" when editing the name of the last student. Clicking repeatedly with adjust on "Insert student" rather than select provides a quick way to add several students as the menu remains visible after each addition. Insert assessment Inserts an assessment column in the table of data for a class. The column is inserted immediately after the column the caret is in. If the caret is not in an assessment column the column is inserted at the beginning of the table. If you want to move the column use the option "Move" from the Selection menu. Insert sub-total Inserts a sub-total column to the table for a class. The column is inserted in the same manner as for inserting an assessment column. Selection The selection menu allows you to manipulate selected groups of either students or assessments. Move Lets you move a selection of students or assessments around the table. Having selected a group of students (or assessments) click with select on the student (or assessment) before which you want to insert your selection. Now get the menu up and click on "Move" or alternatively type "Ctrl-V". Delete Allows you to delete a selection of students or assessments. Clear Deselects a selection. Open profile Opens a profile window on a student. This can only be done when the selection comprises a single student. The profile window allows you to enter and edit a short profile (6 lines of 60 characters each) about each student. Scaling Opens the scaling dialogue box to get your preferred scaling option (if any). Once a scaling option has been chosen an additional column headed "Scaled Mark" will appear to the right of the final mark column. Ordering The ordering menu is concerned with the order in which student names appear in the class table. Alphabetical Sorts the students alphabetically. Rank Ranks students from highest to lowest according to their final mark. Display The display menu gives access to a couple of options concerned with how information is displayed in the class table. Raw marks When ticked the marks displayed in the body of the table are the raw marks obtained by each student in each assessment. The assessment maximum fields for each assessment display the total mark the assessment was marked out of. The body of the table and the maximum fields are displayed in white to indicate that these numbers are able to be edited directly. When not ticked the marks displayed are percentages. The assessment maximum fields display the number 100 to indicate this. The body of the table and the maximum are displayed in light grey to indicate that these values cannot be edited directly. Floating labels When ticked this menu option will display the name of the student and assessment immediately beside and above any mark that is being edited. This is useful when the size of the class table means the names of the students and assessments have scrolled out of the window. Text output The text output menu enables the data in the currently open class to be output to a plain text file. Whether the marks displayed in the text output are raw marks or percentage marks depends on the particular display option you have in force at the time the text output is requested. Space separated Produces a text file where the data is separated by spaces. This file can be dropped onto a printer for quick hard copy output. Comma separated Produces a text file where the data is separated by commas, suitable for dropping into spreadsheets or databases. Tab separated Produces a text file where the data is separated by tabs, this is suitable for dropping into a word processor or desktop publisher. Chars per line Frequently the width of a table will exceed the page width of both printers and word processors/desktop publishers. In order to overcome this the table is sliced into a number of vertical strips and the strips are then sent to the text file one after the other. This option allows you to choose how many characters wide each vertical strip of the table will be.
